Who is responsible for your information?

I am Teresa Ribeiro, an author based in Portugal and the person responsible for personal data collected through teresaribeiroauthor.com and my newsletter. For privacy questions or to exercise your rights, email vialen@teresaribeiroauthor.com.

When you join my newsletter

I use your email address, your name if you provide it, and subscription records to send book news, artwork, behind-the-scenes updates and related announcements. Signing up is voluntary and the legal basis for these emails is your consent. You can withdraw it at any time using the unsubscribe link in any newsletter or by emailing me. Withdrawing consent does not affect processing that was lawful before withdrawal.

Squarespace Email Campaigns stores the mailing list and sends the emails. Its built-in reporting records deliveries, bounces, unsubscribes, opens and link clicks to show how campaigns perform. Email privacy features can affect the accuracy of these statistics. Website cookie choices and newsletter subscriptions are separate settings.

When you contact me

The contact form collects your first and last name, email address, message and any enquiry category you choose. Submissions are stored in Squarespace. Direct email correspondence is handled through my email provider, Spacemail.

I use this information to read and respond to your enquiry and manage any resulting correspondence. The legal basis is my legitimate interest in communicating with readers and professional contacts, or taking steps at your request before entering a contract where relevant. Sending a message does not itself subscribe you to the newsletter: the form has a separate, optional sign-up choice. Please avoid including sensitive personal information that is not needed for your enquiry.

Website information and cookies

Squarespace hosts this site and receives technical information such as your IP address, device and browser details, and pages requested to deliver and protect the website. My legal basis for essential operation and security is legitimate interest. Squarespace also processes some technical information for its own purposes, as explained in its Privacy Policy.

Essential cookies keep the site functioning. Optional Squarespace analytics cookies help measure visits and site activity and are restricted until you accept them. You can accept all, decline all optional cookies, or choose categories through the banner. Use Cookie Preferences to revisit your choice at any time. Consent is the basis for optional cookies; refusing them does not stop you from subscribing or contacting me.

Links to bookshops, social networks and other websites take you to services with their own privacy practices. Embedded third-party content may also involve those providers when loaded or used. Check the relevant provider’s policy before interacting with it.

Who receives information and where it is processed

Service providers receive the information needed to host the site, store submissions, send the newsletter and handle correspondence. These include Squarespace and Spacemail and their supporting service providers. I do not sell your personal information. Information may also be disclosed where required by law or necessary to establish, exercise or defend legal claims.

Providers may process data outside Portugal or the European Economic Area. Where required, international transfers must be covered by an adequacy decision or appropriate safeguards, such as the European Commission’s standard contractual clauses. Squarespace describes its safeguards in its Data Processing Addendum. Contact me if you need further information about transfers affecting your data.

How long information is kept

Newsletter details are kept while you remain subscribed. After you unsubscribe, limited suppression and consent records may be retained where necessary to respect your choice and demonstrate compliance. Enquiries and correspondence are kept only as long as needed to resolve the matter and any relevant follow-up, legal obligations or claims. Retention depends on the purpose, the nature of the relationship and applicable legal requirements; data that is no longer needed should be deleted or anonymised.

Your rights

Under applicable data-protection law, you can request access to your personal data, correction, erasure, restriction of processing and, where applicable, portability. You can object to processing based on legitimate interests and withdraw consent at any time. These rights are subject to the conditions and exceptions in the law.

Email vialen@teresaribeiroauthor.com. I may need information to verify your identity before responding. Requests are normally answered within one month; if a lawful extension is needed, I will explain why.

You can also complain to Portugal’s data-protection authority, the Comissão Nacional de Proteção de Dados (CNPD), or your relevant local supervisory authority.
